Job description
Our client is a renowned architecture firm with offices based around the UK. They are now looking for a Bid Manager to join their London office based in Tower Hamlets. The position will involve working with the Marketing team and colleagues across the business to create high-quality digital and print materials for campaigns and events. This role requires strong organisation, communication, and teamwork, with a focus on keeping the brand consistent across all platforms. Key tasks include developing templates, maintaining design assets, and producing marketing materials such as brochures, reports, and event collateral. The ideal candidate will be someone who is organised, flexible, and takes initiative. You should have experience with procurement and B2B activities in the UK, alongside having managed the start-to-finish of the bid process.
The Role
• Manage the full bid and tender process — from deciding to bid, preparing documents, submitting, and reviewing results.
• Organise and lead bid meetings with design teams and other stakeholders.
• Coordinate bid teams and make sure everyone (partners, project leads, marketing, writers) works well together.
• Review and edit submissions to make sure they are clear, accurate, and meet requirements.
• Track and share new tender opportunities and make sure submission requirements are understood.
• Work with project leads to create strong and clear bid strategies.
• Manage online procurement portals and ensure all documents are uploaded correctly.
• Check all bids for quality, compliance, and deadlines.
• Make sure all submissions meet commercial and legal requirements.
• Plan and support client presentations and interviews.
• Collect feedback after submissions and improve future bids.
• Keep a well-organised bid library with key documents and materials.
• Share knowledge and best practices across the team.
The Candidate
• Relevant degree or equivalent education/training.
• Strong experience in a bid or tendering role, ideally in a medium to large design consultancy.
• Proven ability to develop bid strategies, including pricing and resource planning.
• Skilled in bid management, writing, and editing.
• Experienced in managing the full bid process from start to finish.
• Experienced in leading and coordinating complex bid campaigns.
• Strong leadership and people management skills.
• Excellent communication and active listening abilities.
• Able to build and maintain strong relationships with both internal teams and external partners.
• Clear and effective communicator, able to manage expectations and secure required resources.
• Makes sound, evidence-based decisions.
• Confident presenter with experience in leading client presentations and internal training.
• Strong negotiation and discussion skills.
• Encourages trust, gives clear direction, and delegates effectively.
• Works well under pressure, managing multiple priorities calmly and professionally.
• High attention to detail and commitment to quality.
• Strong IT skills, including Microsoft 365 (Word, Excel, Teams, Outlook).
• Advanced knowledge of Adobe Creative Suite (InDesign, Photoshop, Illustrator) and Affinity software.
