Job description
We are currently working with an exciting architecture client with offices across the country that focus on innovation and sustainability within the creative space. They are currently hiring for their head office in Chelmsford for an Office Receptionist which is a new role within the team. Within the role, they are looking for someone friendly, highly organised and passionate about delivering good customer service to clients. The role will involve supporting administrative work when needed, answering the phones and welcoming any visitors into the office. This position is full-time, working on-site Monday to Friday from 9 am – 5.30 pm. The ideal candidate will be someone with previous experience working as a Receptionist or in a similar Customer Service role and also be confident speaking on the phone.
The Role
· To greet and welcome visitors in a professional and friendly way, providing refreshments throughout their visit.
· Monitoring visitor parking bays.
· Answer and direct incoming calls to the appropriate people promptly.
· Manage the reception area (including client toilet), ensuring a clean, well-stocked, organised, and welcoming environment.
· Keep the office stocked with milk and fruit each week.
· Liaise with the Office Cleaner to ensure all is in order and all supplies are in place.
· Manage the kitchen area ensuring everything is clean and in the right place.
· Ensuring all stationery and kitchen stocks are replenished and fully stocked at all times.
· Manage any mail delivered to the office.
· Monitor board room bookings to ensure nothing is overbooked.
· Maintain office security by ensuring visitors always sign in and out.
· Managing the shared email inboxes and answering queries when necessary.
· Assist with any printer, or scanning issues and liaise with our IT company to ensure that any issues are dealt with promptly.
· Assist with basic administrative tasks such as typing of ASA’s, fee letters, data entry, filing, photocopying/scanning and document binding.
· Assist with the booking and organisation of corporate and social events.
· Provide ad hoc administrative support where required.

· Multitasking and time-management skills, with the ability to prioritise tasks.
