Job description

This established and reputable architectural practice is now looking for an experienced, tenacious and highly articulate Receptionist/Office Assistant to join their sociable team. To be considered for this role you must ooze personality, have worked in a similar working environment or within another closely related creative sector.  This practice is renowned for the designs they have carried out all over the world, and are based in fabulous offices located in the West End.

 

Responsibilities

You will be solely responsible for Front of House which will include the following duties:

  • Answering and screening telephone calls
  • Meeting and greeting visitors
  • Booking and managing meeting room (including catering)
  • Assisting with the monitoring and ordering of office supplies together with general admin support
  • Booking couriers
  • Binding documents for presentations
  • Maintaining a safe and clean reception area and meeting room
  • Sorting and distributing post
  • General admin support such as letters and meeting minutes
  • Additional tasks may involve travel arrangements, research, arranging presentations and internal events.  The job description could expand, dependent on experience and ability, to HR and Finance.  You will provide support to the Office Manager and occasionally directly to the design teams.

  • Excellent verbal communication skills and the ability to follow telephone protocols
  • Professional attitude
  • Proficiency in Microsoft Office - Adobe InDesign or/and Photoshop knowledge would be an advantage
  • Ability to work under pressure
  • Proactive approach with a strong work ethic
  • Energy and enthusiasm
  • Able to engage and work with a wide range of people including those holding senior positions in this and other organisations
