Job description

​Our client is an award-winning architecture practice based in South West London who are renowned for its architecture, urban design, landscape and interior design. They are now looking for a Front of House Manager to join their team. The role will involve working with the admin and project teams and being responsible for the front of house and premises-related contracts and suppliers. The ideal candidate will be someone with experience working in a receptionist role with an interest in being in the architecture industry.

The Role

  • Send daily staff attendance email.

  • Answer phone calls and take messages.

  • Welcome visitors and sign them in and out.

  • Keep reception and meeting areas clean and tidy.

  • Make sure bathrooms and tea points are clean and fully stocked.

  • Keep stationery and printing areas organised and stocked.

  • Order office supplies when needed.

  • Book meeting rooms and arrange catering if needed.

  • Sort and deliver post and packages.

  • Check and manage the company info email inbox.

  • Order weekly snacks, drinks, and kitchen items.

  • Set up Friday refreshments and presentations.

  • Plan lunch breaks and holiday cover with admin team so reception is always covered.

  • Train new admin staff on reception duties.

  • Keep staff info up to date in the system and brochure.

  • Prepare welcome packs for new starters.

  • Organise CPD seminars and training sessions.

  • Arrange work experience placements.

  • Work with suppliers and cleaning staff.

  • Help with fire safety checks and risk assessments.

  • Give out office keys to new staff and collect from leavers.

  • Book regular maintenance visits and file service reports.

  • Manage office recycling and waste collections.

  • Update contact details, job titles, and supplier lists every 3 months.

  • Help with quarterly reports on paper use and staff travel.

  • Arrange archive box pickups and deliveries.

  • Keep track of off-site storage.

  • Update and manage the office contact list.

  • Make sure tasks follow company quality standards.

The Candidate

  • Interested in working in an architectural or creative business.

  • Can handle multiple tasks, stay organised, and manage time well.

  • Good written and spoken communication skills.

  • Well-organised and able to solve problems proactively.

  • Careful and pays attention to detail.

  • Used to working in a busy role and can priorities tasks.

  • Friendly and professional when dealing with clients and visitors.

  • Confident using Microsoft Word, Excel, PowerPoint, and Outlook.

  • Quick to learn, self-motivated, and able to work alone or with a team.

  • Gets along well with others and builds good relationships.
