Job description
We are currently working with a global architecture and design firm based in Clerkenwell, who are seeking an organised, personable and proactive Studio Manager to assist with the operations in the company’s London office. The role will involve working closely with the Global Operations Manager to ensure a smooth running of the business. This role is key within the business and is responsible for ensuring the smooth running of the studio day-to-day, while also supporting wider initiatives in HR, finance, IT, and company culture.
The Role
• Manage all aspects of the studio environment, including office supplies, kitchen and pantry provisions, deliveries, and liaising with building management.
• Ensure the workspace is welcoming, functional, and compliant with health and safety standards.
• Coordinate maintenance, repairs, and security access in collaboration with building contacts.
• Handle day-to-day studio administration, including filing, document management, vendor relations, and office purchases.
• Process staff expenses and studio invoices using Dext and Xero, and maintain accurate financial records in collaboration with the finance team.
• Maintain up-to-date vendor and invoice trackers and assist with financial onboarding for new projects.
• Lead onboarding and offboarding processes for all UK-based hires—liaising with IT, HR, and facilities to ensure smooth transitions.
• Maintain employee records and support staff with leave tracking and training coordination. Currently migrating to Bamboo HR / Timesheet / Expenses software.
• Support global and local team-building initiatives, including monthly cultural lunches, Town Halls, and events.
• Organise drinks, lunches and mark team members' birthdays.
• Act as the liaison between the London team and global IT support, facilitating smooth access to software systems including Microsoft 365, Gmail, Slack, Harvest, and Panzura.
• Ensure that new hires have the correct tools and access from day one, and that existing employees are offboarded correctly.
The Candidate
• Proven experience in a studio, office, or operations manager role—ideally within architecture, design, or a creative practice.
• Outstanding organisational skills with a proactive, solution-focused mindset.
• Excellent interpersonal and communication skills; you’ll be the go-to person for staff and guests alike.
• Comfortable managing budgets, supplier relationships, and administrative systems.
• Confident with IT systems and digital tools; proficiency in Microsoft 365, Google Suite, and Slack is essential.
• Familiarity with design-related tools (InDesign, Harvest, Panzura) and financial software (Dext, Xero) is desirable.
• An interest in architecture, design, or creative industries is a strong plus.
